Protecting your information is important to Exeter-West Greenwich Regional School District. This statement of Privacy applies to the web services associated with ewgrsd.org, ewg.k12.ri.us, ewgrsd.com, ewgrsd.net, myewg.org, ewg.pub, the Exeter-West Greenwich, RI mobile application, or any other media form or media channel related, linked, or otherwise connected thereto (the "Services") operated by Exeter-West Greenwich Regional School District under the authorization of the Exeter-West Greenwich School Committee ("us", "we", or "our"). Exeter-West Greenwich School Committee Policy 8905 details how the committee controls the input to the Services and how the materials made available from these media sources serve the educational and cultural needs of the schools, and provides information to the public community. The Services we provide are intended for news and information distribution. By using these Services, you consent to the data practices described in this statement.

This privacy statement does not apply to school records, school computer access, or any information related to educating students or the operation of the school district. Those records are controlled by separate Exeter-West Greenwich School Committee Policies.

Collection of Personal Information

We limit the data collected about users of the Services to what is absolutely necessary to operate the Services. We do not collect any personal information about you unless you voluntarily provide it to us. However, you may be required to provide certain personal information when you elect to use certain Services. These may include; registering for an account, signing up for email, text, or phone notifications, or sending us an email message. To whit, we will use your personal information for, but not limited to, communicating with you in relation to the Services you have requested from us. We also may gather additional personal or non-personal information in the future.

Sharing Information with Third Parties

We do not sell, rent or lease you information to third parties.

We may share data with trusted partners to help provide statistical analysis, send you email, texts or phone calls that you requested, or provide customer support. All such third parties are prohibited from using your personal information except to provide these services to us, and they are required to maintain the confidentiality of your information.

We may disclose your personal information, without notice, if required to do so by law or in the good faith belief that such action is necessary to: (a) conform to the edicts of the law, or comply with legal process served on us or the Services; (b) protect and defend our rights or our property; and/or (c) act under exigent circumstances to protect the personal safety of users of the Service or the public.

Third Party Functions

The Services include features that operate in conjunction with third party tools and resources (i.e. Facebook, Twitter, Apple, and Google). Access and use of third party tools and integrations through the Service is also subject to the privacy statements of the third party service providers. We encourage users to be aware when they utilize third party services and to read the privacy statements of those services prior to use.

Automatically Collected Information

Information about your computer hardware and software used to access the Services may be automatically collected by us. This information may include; your IP address, browser type, device type, domain names, access times, and referring website addresses. This information is used for the operation of the Service, to maintain quality of the Service, and to provide general statistics regarding the use of our Service.

Use of Cookies

We may use “cookies” to help personalize your online experience. A cookie is a text file that is stored on your device by your browser or mobile application. Cookies are uniquely assigned to you and are only read by a web server in the domain that issued the cookie to you.

The Service contains links to other sites. Please be aware that we are not responsible for the content or privacy practices of such other sites. Security of your Personal Information

We secure your personal information from unauthorized access use or disclosure. We utilize the following methods for this purpose:

  • Encryption in Transit using security protocols (i.e. SSL or TLS) or cryptography (i.e. RSA or EdDSA)

  • Encryption at Rest using cryptography (i.e. AES or RSA)

We strive to take appropriate security measures to protect against access or alteration of your personal information. Unfortunately, no data transmission over the Internet or computer networks can be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, you acknowledge that: (a) there are security and privacy limitations inherent to the Internet that are beyond our control; and (b) security, integrity and privacy of information and data exchanged between you and us through the Service cannot be guaranteed.

Right to Deletion

Subject to certain exceptions set out below, on receipt of a verifiable request from you, we will:

  • Delete your personal information from our records; and

  • Direct any of our partners to delete your personal information from their records.

Please note that we may note be able to comply with requests to delete your personal information if it is necessary to:

  • Complete the transaction for which your personal information was collected;

  • Detect security incidents, protect against malicious, deceptive, fraudulent, or illegal activity; or prosecute those responsible for that activity;

  • Debug to identify or repair errors that impair existing intended functionality;

  • Enable solely internal uses that are reasonably aligned with your expectations based on your relationship with us;

  • Comply with legal obligations; or

  • Otherwise use your personal information, internally, in a lawful manner that is compatible with the context in which you provided the information.

Children Under Thirteen

We do not knowingly collect personally identifiable information from children under the age of thirteen. If you are under the age of thirteen you must ask your parent or guardian for permission to use the Services.

Communications

From time to time we may contact you via email for their purpose of providing information announcements, reminders, alerts, confirmations, or  surveys as you have requested, and/or other general communication. In order to improve our Services, we may receive a notification when you open an email from us or click a link therein. 

From time to time we may contact you via SMS text for their purpose of providing information announcements, reminders, alerts, confirmations, or  surveys as you have requested.

From time to time we may contact you via phone for their purpose of providing information announcements, reminders, alerts, confirmations, or  surveys as you have requested.

If you would like to stop receiving communications via email, SMS text, or phone calls from us, you may opt out of such communications by emailing datasecurity@ewg.k12.ri.us with the subject UNSUBSCRIBE and a list of the email addresses or phone numbers you wish to remove from the Service in the body of the message.

External Data Storage Sites

We may store your data on servers provided by third party vendors with whom we have contracted.

Changes to this Statement

We reserve the right to change this Privacy Statement at any time. We will notify you of any changes by updating the “Last updated” date of this Privacy Statement, and you waive any right to receive specific notice of each such change. You will be subject to, and will be deemed to have been made aware of and accepted, the changes in any revised Privacy Statement by your continued use of the Services after the date a revised Privacy Statement is posted.
